Running an Event

Events | Consents, Licences and Consultation | Coordinating Volunteer Events | Health and Safety Guidelines | Traffic Management and Parking | Wedding and Outdoor Venue Booking Information

Step 1: We will help you in gaining approvals, or set up meetings for further discussion about your event.
You will need to provide detailed information including: 

  • The type of event, e.g. fundraising, sporting, national, international.
  • Date, time and duration. 
  • Expected numbers of participants and visitors/audience members. 
  • Venue/location, or the route the event will take. 
  • Ancillary facilities such as retail shops, food and liquor outlets. 
  • Set-up and pack down requirements.

Step 2: Fill out and return the necessary forms and provide a site map. The map should indicate: 

  • The location of all activities. 
  • Entry/access points and exits. 
  • Toilets, first aid stations, lost persons facilities and access for disabled people. 
  • Liquor and food stalls, and the proposed licensed area. 
  • Parking areas and bus drop-offs. 
  • Temporary structures such as marquees and grandstands.

We will assess (and add to if necessary) and approve the site hazards and controls form and return it to you. The event organiser must communicate all hazards and controls to participants prior to the commencement of the event. If deemed necessary by the Council, a Council officer will meet with all participants on the event day and induct the volunteers to the site by reiterating all hazards and controls prior to the commencement of the event.

Step 4: Follow-up call or debrief meeting with the Council. 

What may be required

  • A resource consent. 
  • A building consent for temporary structures e.g. marquees. 
  • A traffic management plan and road closures. 
  • Parking.
  • Other footpath/road reserve activities. 
  • Food and liquor licences. 
  • Waste management plan. 
  • Amusement devices or fireworks licence. 
  • Fire permits. 
  • Consultation with affected parties. 
  • A health and safety plan. 
  • Public liability insurance.

Booking public spaces, resources and funding


We can provice information on local resources, funding and information about booking public spaces, parks, reserves, streets or venues (e.g. TSB Showplace or Yarrow Stadium). Terms and conditions for specific venues will be provided but please note that all NPDC venues, parks, playgrounds, sportgrounds and walkways are smoke free.

Venture Taranaki administiers a major events fund which is available for events that meet economic, social, cultural and marketing criteria.
